Give food service its own space

A buffet needs room to set out food and let guests reach it. For a seated lunch, check the chairs, table space and serving plan. Even light refreshments need somewhere for drinks and guests’ belongings.

If guests will move between decks, think about how food will be served in each area. Describe the meal first so we can check whether the yacht and proposed service will suit it.

    Include children and any host or entertainer who will join the trip. Tell us the full party so the applicable passenger arrangements can be checked.

  2. Send one event brief

    Share the date, hours, meal style and your main priority. Add access needs and any equipment or services you want arranged.

  3. Review the whole proposal

    Review the named yacht, boarding point, guest limit, menu or catering plan and total cost together. Make clear which extras are included and which you still need to arrange.

  4. Give guests a single arrival plan

    Use the confirmed boarding instructions and allow the group to arrive together. One nominated organiser can handle changes without passing conflicting directions between guests.

Should we choose a yacht that holds exactly 25?

A boat with a published capacity of 25 can suit a simple cruise. Compare its layout with a larger yacht if food or an event needs more room. Extra capacity may help, but it does not guarantee a table for the whole group.

Can we add more guests later?
